Office Manager

The Office Manager is responsible organizing and coordinating office operations, administrative support and procedures to ensure organizational effectiveness and efficiency. The Office Manager is responsible for providing office management services to the office. This includes maintaining office services and efficiency, managing office logistics and schedules, admin support to family members, and maintaining office records.

Primary Responsibilities

  • Must be highly punctual, reliable, and responsible.
  • Must provide admin support to the Ahern Family, managing schedules, reminders, meetings, etc.
  • Maintain office area, clean and free from clutter, monitor cleaning staff.
  • Operate telephone system, route calls, take messages, answer inquiries and obtain information for general public, customers and visitors, greet guests and refer them to appropriate staff members.
  • Assist various departments in miscellaneous tasks, but not limited to, light correspondence; English, grammar and skilled writing required, customer service, light bookkeeping, copying, faxing, mailing and filing.
  • Maintain office staff calendar to coordinate work flow, schedule lunch breaks, appointments, meetings, and travel arrangements.
  • Maintain professional relationship and communication with each department to ensure coordination of work flow.
  • Manage hospitality for office guests, clients and vendors.
  • Sign for and distribute UPS/FedEx, inbound/outbound mail, sorting and package receiving.
  • Ensure Accounting receives all bills, troubleshooting assignments, and miscellaneous errands outside office.
  • Office supplies management and budgeting for corporate office.
  • May be required to work occasional, weekends, within advance notice, depending on business needs.
  • May be required to work occasional events, sponsorships, Expos, etc.
  • Answer all inquiries incoming to communications email in timely manner.
  • Answer all inquiries incoming to website chat box and transferring inquiries to other departments if needed Social Media updates.
  • Work on fliers and mailers Coordinate and mail monthly statements to accounts.
  • Perform other duties as assigned

Knowledge & Skill

  • Advanced knowledge of Microsoft Office & Google Docs
  • Knowledge of VAST and Great Plains Accounting
  • PowerPoint
  • Photoshop
  • Excellent analytical, problem solving and organizational skills
  • Excellent oral and written communication skills
  • Fluency in written and verbal English
  • Proven ability to think independently and handle multiple projects through to completion
  • Record of successfully collaborating with and influencing other senior management and peers
  • Demonstrated ability to lead and manage all administrative functions
  • Demonstrated independent work initiative, sound judgment, diplomacy, analytical ability and professional demeanor

Education and Experience

  • College degree or equivalent level of industry experience preferred
  • Two or more years in an administrative support role in a professional office environment
  • Excellent interpersonal and communication skills
  • A strong work ethic and a team player attitude
  • Exceptional communication, analytical, and problem-solving skills
